Non-College-organized Events
Eligible Activities
Participation as an audience member, performer, or participant in face-to-face or virtual cultural activities (broadly defined) organized by any units within or outside the University, whether local or overseas, will be considered. This includes, but is not limited to, concerts, plays, dramas, films, operas, cultural tours, art fairs, museum tours, talks, workshops, and conferences. For virtual events, the event duration must be a minimum of 45 minutes. In the case of very brief online videos or workshops, students may combine multiple presentations in same series to constitute one activity (e.g., three 15-minute videos can count as one activity).
Attendance Record
Since these events are not organized by the College, students should take the initiative to record their activity attendance through one of the following methods by the last day of the term, as mentioned in the relevant College mass announcement.
1) Record Form for Cultural Activities

Required materials for submission:
• Activity name, organizer, nature, date, and time of participation
• Activity registration record or confirmation letter
• A photo of the participant taken during the activity at the event venue
Important Point to Note:
• It is recommended to submit the form immediately after the activity to avoid missing the deadline. Students can submit the form more than once, without having to wait until the end of the term to collect all the activities before submitting.

2) Record Form for the “Self and The Significant Others” Scheme

This Scheme has been introduced since the academic year 2023–24, strives to promote communication and cultural exchange among our students and their important companions. Students and their significant others are invited to participate in any non-CWC organized cultural activity during term time. By joining ONE cultural activity together and recording it through the online form, TWO attendance records will be granted after review. Click here for illustrative examples for reference.
Who are my significant others?
• Any CWC student from a different year, major, or who speaks a different native language;
• Any relative (e.g., cousin) or immediate family member (e.g., grandparent) who is not a CWC student; or
• Any CUHK student from a different college.
Important Points to Note:
• Each invitee can only participate as the invitee of the same student ONCE.
• Students with genuine financial needs may apply for a one-off subsidy (maximum HK$200 per CWC student per activity) from the College on a reimbursement basis. All subsidy applications will be processed together at the end of term.

Record Review
Activity participation submitted through the abovementioned forms will undergo review by the Dean of Students (DoS) before being included in the students’ attendance record.
